Akrewed Event Management ("we", "our", or "us") values your privacy. This Privacy Policy explains how we collect, use, and protect your personal information, including mobile phone numbers, mobile app device tokens, and work-related scheduling information, when you use our services.
1. Information We Collect
- Name, email address, and phone number
- Organizational affiliation and user permissions
- Shift participation and assignment history
- Timeclock punch records, shift applications, surrender requests, and unavailable-date preferences
- In-app message content, conversation metadata, read/archive status, and message notification preferences
- Mobile app push notification device tokens and notification category preferences, if you enable push notifications
- Voluntary details from forms and settings
- Support-ticket submissions, including issue type, summaries, details, reported page information, browser or device details, and accessibility context you choose to provide
- Google Calendar integration tokens (only if you authorize sync)
2. How We Use Your Information
- Schedule management and shift coordination
- Notifications about changes and assignments
- Delivering optional mobile push notifications for messages, timeclock reminders, announcements, open shifts, and other app activity
- Displaying production notes, crew details, open-shift applications, surrender requests, and unavailable periods to authorized users
- Calculating timeclock, payroll, reporting, and operational summaries according to organization settings
- Technical support and service improvements
- Reviewing, responding to, and resolving support tickets, accessibility reports, bug reports, and feature requests
- Syncing scheduled shifts to your authorized Google Calendar, if you opt in
- Generating AI-assisted operational summaries, staffing suggestions, and planning insights for authorized staff users
3. Mobile Phone Number & SMS Usage
We collect and use mobile phone numbers to provide timely and relevant communication related to your work shifts and events. SMS messages may include notifications about new assignments, changes to scheduled events, reminders, or urgent alerts.
Opt-In: You must explicitly opt in to receive SMS messages by navigating to Account >> Change Notification Preferences in your user dashboard and enabling SMS notifications.
Opt-Out: You may opt out of SMS communications at any time by:
- Disabling SMS in your notification preferences
- Emailing us at support@akrewed.com
- Texting STOP from your registered mobile number to +1 (727) 855-8534
Standard message and data rates may apply depending on your carrier plan. We do not charge for SMS notifications.
3a. Mobile Push Notifications
If you use the Akrewed iOS or Android app, you may choose whether to enable push notifications on your device. Push notifications are optional and may be managed both through the app and through your device operating system settings.
Akrewed may offer separate push notification preferences for messaging, timeclock reminders, and other app notifications such as announcements, available shifts, schedule changes, or related operational notices. To provide these notifications, we store device tokens issued by Apple Push Notification service or Firebase Cloud Messaging, along with your organization and notification preference settings.
Push notifications may include brief work-related information, such as a message preview, announcement title, timeclock reminder, shift notice, or app destination. You should keep device-level notification privacy settings in mind if your device can be viewed by others.
4. Information Sharing
We do not sell, rent, or share mobile numbers or personal data for marketing or promotional purposes.
Data may be shared only:
- With your explicit consent
- To comply with legal obligations
- With secure third-party vendors solely for hosting, technical support, communications, support-ticket handling, calendar sync, or AI-assisted processing, under appropriate contractual or confidentiality protections
- Internally with designated Akrewed system operators, super admins, or support contacts who need access in order to review and respond to submitted tickets or service issues
5. Data Security
We implement appropriate technical and organizational safeguards to protect your information from unauthorized access, disclosure, alteration, or destruction.
Akrewed in-app messages are transmitted over encrypted HTTPS connections and stored on Akrewed servers so they can be delivered, synchronized across devices, displayed in conversation history, and reviewed when necessary for support, safety, abuse prevention, security, or administrative purposes. In-app messages are not end-to-end encrypted. Users should not use Akrewed messaging to send passwords, payment card details, medical information, or other highly sensitive personal information.
Availability settings, shift applications, surrender requests, production notes, crew lists, and timeclock information are access-controlled by organization membership and role permissions. Users should only enter accurate work-related information and should avoid including unnecessary sensitive personal details in free-text fields.
6. Your Choices
- Update your profile and contact details anytime via your account settings
- Manage SMS and email notifications in your notification preferences
- Manage mobile push notification categories in the iOS or Android app, where available
- Enter, edit, or remove unavailable-date preferences where the feature is available to your account
- Choose what information to include when submitting a support ticket, accessibility report, bug report, or feature request
- Request data deletion or access by contacting us directly
7. Google Calendar Integration
If you choose to connect your Google Calendar to Akrewed, we request limited access to your Google account in order to create and update events that match your scheduled work shifts. We do not read, delete, or access any other events or calendars.
Your Google access token is securely stored and used solely for the purpose of syncing events that you have access to in our system. You may revoke access at any time from your Google Account settings, or by visiting your account dashboard and disabling calendar sync.
We never share your Google Calendar data with third parties.
7a. Retention and Deletion of Google User Data
We retain Google user data (specifically, access tokens and calendar event metadata) only for as long as your account remains connected to Google Calendar through Akrewed.
If you disconnect your Google Calendar by disabling sync in your account dashboard, all associated tokens are automatically deleted from our systems within 24 hours. No personal event data from your Google Calendar is stored, accessed, or retained.
You may request permanent deletion of any data associated with your account, including previously synced shift data, by emailing support@akrewed.com. We will respond within 5 business days and fulfill the request in accordance with applicable data protection regulations.
8. AI-Assisted Features
Akrewed may offer AI-assisted tools for authorized users, such as staffing suggestions, planning summaries, and neutralized summaries of prior event reports. These tools are intended to help staff review historical patterns and prepare for upcoming events more efficiently.
When an authorized user requests one of these features, we may send limited event-related information to a third-party AI service provider, including selected questionnaire fields, event metadata, client and category information, prior staffing history, and relevant internal report content needed to generate the requested summary or recommendation.
We configure these features to support internal operational use. AI-generated output is reviewed by staff and is not intended to be the sole basis for safety, employment, disciplinary, legal, or other high-impact decisions.
We may store AI-generated responses within Akrewed to improve performance, reduce repeated requests, and preserve planning context for authorized users. Original internal reports remain part of the underlying system record unless separately modified or deleted in accordance with our retention practices.
Our AI service providers may temporarily retain submitted content for security, abuse monitoring, or service operation purposes according to their applicable terms and policies. We do not use these AI features to sell customer data or to publicly disclose internal event information.
9. Support Tickets and Accessibility Reports
Akrewed may allow users to submit support tickets, accessibility reports, bug reports, and feature requests through in-app forms or linked support channels.
When you submit one of these requests, we may store the information you provide, including your name, email address, organization context, issue type, summary, details, reported page URL, browser or device information, and any accessibility-related context such as assistive technology details. We use this information to investigate issues, communicate with you when appropriate, improve the Platform, and maintain an internal record of issue resolution.
Support-ticket data is accessible only to personnel and designated contacts who need it to triage, respond to, resolve, or document the request.
10. Use of the iOS and Android Apps
Our iOS and Android mobile applications ("the apps") provide users with secure access to the Akrewed Event Management system. To use the apps, users must log in using their existing credentials. These credentials are transmitted securely using encrypted HTTPS connections. The apps may store an authentication token or similar session credential on the device to keep you logged in between app launches.
The apps do not request, access, or collect location, contacts, photos, microphone, or camera data for core scheduling, messaging, timeclock, bulletin, availability, or open-shift features. If future optional features require additional device permissions, the apps will request them through the operating system permission prompts.
All data viewed, entered, or accessed via the apps, including shift schedules, production notes, announcements, in-app messages, open-shift applications, surrender requests, unavailable dates, profile details, and timeclock activity, is governed by the same privacy and data security protections outlined in this policy.
The apps may periodically refresh data while in use and may use operating system push notification services to notify you of selected activity if you opt in. Background delivery is controlled by Apple, Google, your device settings, and network conditions.
11. Policy Updates
This Privacy Policy may be updated periodically. If significant changes are made, we will notify users via email or in-app notification. The most recent version will always be available on our website and mobile application.
